Commercial Microsoft 365 Copilot adds organizational grounding and administration for eligible tenants.
That reach is valuable for Microsoft-centered work because the user may not need to move a document into a separate AI tool. In Word, PowerPoint, Excel, Outlook, or OneNote, the relevant Copilot can operate near the content and interface where the result will be reviewed. Grounding can make an answer more relevant to a user or organization, but it remains dependent on accessible permissions, current source files, and a precise prompt. It does not guarantee that the interpretation or final output is correct.
The naming creates a real evaluation hazard. Privacy, training, memory, file handling, entitlements, and pricing vary depending on whether the person is using consumer Copilot, Copilot inside home Microsoft 365 apps, or Microsoft 365 Copilot while signed in with an organizational Entra ID. Microsoft says eligible consumer conversation activity may be used for model training unless the user opts out, while organizational Entra ID and Microsoft 365 app contexts are excluded under the documented conditions. Buyers must identify the exact surface and identity before applying a security statement.
Copilot is a sensible choice when it removes steps from an established Microsoft workflow and the organization can govern access centrally. It is less compelling when a team expects one subscription to unlock every Copilot-branded capability or assumes a cited web response is automatically reliable. Start with a low-risk document or research task, inspect every source and change, and measure how much review remains. Use approved organizational accounts for business data and treat generated formulas, summaries, emails, and presentations as drafts owned by a human reviewer.

A model synthesizes the available context into an answer, summary, formula, email, presentation, or proposed document edit. Grounding improves relevance but can still omit evidence, misunderstand the source, or generate an unsupported conclusion.
Verify and govern the output
Open citations, compare summaries and edits with the original file, test calculations, and approve external communications manually. Apply the privacy, retention, training, and sharing controls for the exact Copilot surface rather than assuming all Copilot products behave alike.
